Pavilion Cowork is seeking a Day-Of Event Coordinator. This role is responsible for managing day-of-logistics, supporting clients and vendors with any venue related questions, and ensuring the space is operated and reset according to company standards. The Day-Of Coordinator will work closely with the Event Manager to deliver a hospitality-driven event experience. This role would be part-time, as needed.
This is an ideal opportunity for someone who is organized, calm under pressure, and people-oriented with a strong ability to problem solve in real time. You will be the main point of contact on event days, representing Pavilion Cowork on-site, facilitating vendor access and departure, guiding clients through onboarding and offboarding procedures, managing venue related questions and ensuring venue policies and safety guidelines are upheld. You will play a key role in maintaining the integrity of the space.
Core Duties & Responsibilities
- Serve as the primary on-site point of contact for clients, vendors and venue staff
- Represent the company, ensuring a welcoming and professional guest and client experience
- Walk clients through onboarding and offboarding procedures
- Facilitate vendor access, load-in/load-out timing, and coordinated departure from the space
- Answer and manage all venue related questions, including lighting, audio/AV support and furniture placement
- Oversee event day logistics to ensure the space is reset according to company standards
- Ensure venue policies and safety guidelines are followed throughout the event
- Document any incidents or damages and report post-event back to the team
- Troubleshoot last minute issues calmly and efficiently to maintain seamless event experience
- Review event run sheets in advance, attend pre-event walkthroughs as required, and coordinate closely with the Events Manager to ensure seamless execution on event day
Who You Are
You’re an experienced, hands-on events professional who thrives in fast-paced environments and loves bringing plans to life. As a Day-of Events Coordinator, you’re at your best when you’re on-site—managing timelines, coordinating vendors, and ensuring every detail unfolds exactly as intended.
You have prior experience supporting or leading events (corporate, private, hospitality, or community-based) and understand what it takes behind the scenes to deliver a seamless experience. You’re calm under pressure, solutions-focused, and quick to adapt when last-minute changes arise. You don’t wait to be told what to do, you anticipate needs, think two steps ahead, and take initiative to keep everything running smoothly.
You’re comfortable managing event run sheets, coordinating load-ins and breakdowns, troubleshooting on the fly, and ensuring health, safety, and service standards are upheld throughout. Long days on your feet don’t faze you—in fact, you enjoy being in the heart of the action.
Above all, you take pride in execution. You understand that great events aren’t just well-planned—they’re well-delivered—and you’re motivated by seeing everything come together flawlessly.
In addition to these qualities, you possess:
- 1–3 years of hands-on experience coordinating or supporting live events (corporate, private, hospitality, community, or similar).
- Demonstrated experience managing event-day logistics, including vendor coordination, run-of-show execution, and on-site troubleshooting.
- Experience working directly with clients or stakeholders in a professional setting.
- Strong understanding of event timelines, floorplans, AV coordination, catering logistics, and health & safety considerations.
- Proficiency in Microsoft Office or Google Workspace (Docs, Sheets, email, calendars).
- Availability to work evenings and weekends as required by event schedules.
- Diploma or degree in Event Management, Hospitality, Marketing, Communications, or a related field is an asset.
- Experience in a venue-based events role.
- Ability to lift/carry up to 25lbs.
- Ability to stand and/or walk for extended periods of time.
- First Aid certification.
- Eligible to work in Canada (Canadian Citizen, Permanent Resident or valid working visa) required.
Compensation Details
- Base Hourly Compensation, with a range of $20.00 – $30.00, depending on experience and qualifications.
- This role is part-time, on call as needed.
