Position Summary 

Pavilion Cowork is seeking a Front Desk Associate to join our expanding team in one of our premier Vancouver locations. As the Front Desk Associate, you are the welcoming face and heart of our coworking spaces, ensuring every member, guest and partner feels at home the moment they walk through our doors. You’ll play a key role in building a vibrant, connected and productive community by providing exceptional service, coordinating daily operations, team leadership and supporting the events and programs that enhance the member experience. 

Core Duties & Responsibilities 

General 

  • Ability to create and maintain a positive working environment; 
  • Greeting guests and informing members upon guest arrival; 
  • Maintaining a consistent presence at the front desk; 
  • Maintaining the necessary level of building and office security; 
  • Support the touring of new members as required; 
  • Opening and closing procedures for the office; 
  • Providing a gracious arrival experience for our Pavilion members; 
  • Support our Community Manager with membership recruiting, conducting tours, executing sales and onboarding; 
  • Supporting members with tasks and local area knowledge; and 
  • Supporting the other Pavilion team members on daily tasks and events. 

Space Presentation & Cleanliness

  • Ensure all coworking areas, meeting rooms, and common spaces are clean, orderly, and presentation-ready 
  •  Perform routine cleaning tasks such as dusting, sweeping, mopping and vacuuming floors;
  • Empty trash and ensure proper disposal of waste and recycling; 
  • Ensure windows, glass partitions and mirrors are regularly cleaned; 
  • Clean and sanitize kitchen areas, including countertops, sinks and appliances; 
  • Clean and sanitize restrooms, including toilets, sinks and mirrors; 
  • Conduct regular walkthroughs to identify and resolve issues proactively. 

Maintenance & Repairs 

  • Perform minor repairs (e.g., lighting, furniture, fixtures, equipment). 
  • Coordinate with external vendors for specialized maintenance (HVAC, electrical, plumbing);
  • Maintain inventory of cleaning supplies and equipment, notify management when supplies need to be replenished; 
  • Track and document maintenance activities to ensure accountability. 

Safety & Compliance 

  • Conduct routine safety checks, including fire exits, alarms, and emergency equipment. ○ Ensure compliance with health, safety, and building standards. 
  • Report and escalate any potential hazards. 

Member Experience Support 

  • Respond to space-related requests and incidents promptly and professionally; 
  • Assist with regular administrative tasks including emails, booking members, checking in guests and answering phone calls or intercom; 
  • Collaborate with Community Managers to support member comfort and satisfaction; ○ Maintain supply stock (cleaning, office, safety) to avoid shortages. 

Facility Operations 

  • Monitor building systems (lighting, climate control, access systems); 
  • Assist in set-ups and resets for events or meetings; 
  • Support space optimization initiatives and sustainability efforts.

In addition to these qualities, you possess: 

  • 2 to 4 years of experience in hospitality, customer experience or community management.
  • Previous experience in a coworking environment is an asset. 
  • Demonstrated ability to manage relationships, operational coordination and engagement.
  • Proficient in Google Workspace applications as well as Microsoft and Adobe. Willingness to learn new software as needed. 
  • Excellent verbal and written communication skills and fluency in English. 
  • Positive attitude and willingness to learn. 
  • Adaptable and flexible, able to work in a fast paced environment, both independently and as part of a larger team. 
  • Solutions oriented approach with superior time management, multitasking and prioritization abilities.
  • Eligible to work in Canada (Canadian Citizen, Permanent Resident or valid working visa) required.
  • Knowledge of the Calgary real estate market and/or coworking is an asset. 

Total Compensation Package 

  • Base Annual Compensation, with a range of $40,000.00 – $48,000.00. depending on experience and qualifications. 
  • Vacation & Time Off Package. 
  • Extended Health & Dental Benefits upon successful completion of a mandatory 3 month probationary period.
